A premier full-service Dermatology Office in East Bay Area is looking for exceptional candidates for Medical Office Receptionist for San Ramon office. Dynamic and engaging personality, honesty, capability to learn quickly, and ability to multi-task are required. Dermatology and/or Cosmetic experience preferred. At least 1 year work experience in a medical office required.

Ideal candidate is someone who is passionate about what they do. Our perfect candidate will be dedicated, reliable and have excellent communication skills and attendance. Following are some of the specific tasks and goals:

Receptionist/ Office assist job responsibilities include the following but not limited to:

- Be part of a respected team of medical staff to deliver exceptional customer service in a consistent fashion

- Answer telephones in a cheerful manner

- Schedule appointments

- Pre-screening for COVID related symptoms, contact and travel history and documentation

- Recognize urgent medical needs and triage care appropriately

- Provide patients with accurate information when answering questions and concerns.

- Maintain patient records and protects patient confidentiality

- Remain calm and effective in an emergency or high-pressure situation

- Collaborate with team members on various ongoing projects

- Collect co-payments

- Collect and post cash and check payment to patient’s account accurately

- Process and post credit card payment to patient account using virtual merchant accurately.

- Post charge and payment received accurately and on a timely fashion.

- Register new patients

- Scanning and sorting medical records

- Balancing payments and deposits

- Take messages for patients using electronic medical records

- Greet, check in and outpatients

- Address patient requests and inquiries

- Resolve patient concerns

- Process insurance issues and assist patients in understanding insurance plans

- Update registration and insurance information for existing patients

- Verify and update patient demographic information

- Verify patient eligibility and obtain prior authorization

- Return calls on a timely fashion as necessary

- Assist with clinic upkeep, including picking up magazines, books, and toys

- Clean patient waiting areas on a daily basis

- Use electronic medical records and work off "task lists" to complete call backs, patient requests, referral and appointment scheduling

- Complete referrals accurately and appropriately

- Perform additional duties as assigned

- Strictly follow HIPPA guideline and protect patient confidentiality at all times

Qualifications:

- Exceptional communication skills, written and verbal

- Demonstrated punctuality, reliability, and professionalism

- High school diploma or General Education Degree (GED) required

- Require at least one year of related medical office experience

- California driver's license, reliable automobile and insurance in good standing

- Ability to multi-task

- Demonstrated excellent customer service skills

- Computer proficiency: Microsoft office

- Minimal typing speed 40 words per minute required

· Recognize urgent medical needs and triage care appropriately

· Provide patients with accurate information when answering questions and concerns and document all clinical activities encounters in medical records.

· Maintain patient records and protect patient confidentiality per employment handbook policy.

· Collaborate with team members on various ongoing projects.

· Physically remaining in work areas (main check out) to be available for any work assignment except one 10-minute break if you work longer than 5 hours continuously and lunch break. Prior to taking the breaks, all staff should inform their supervisor or senior colleague about the break and inform the expected time of return to work.

· Perform additional duties as assigned.

· Utilizing practice management software to perform daily tasks. Please note that the access to practice management software is a privilege and the access will be changed from time to time with or without notice.

· All staff will not use smart phone or other electronic devices while on clocked in duty time. All Staff will take personal phone calls during breaks or lunch time.

· All staff will minimize use of internet for personal reasons while on duty.

· All staff will minimize use of company workstations to access internet for personal reasons both on duty and during breaks.

· All staff should minimize personal chit chatting with colleague and or pharmaceutical reps during work hours.

. All staff should not bring personal valuables to work. The practice is not responsible for loss of personal items/valuables.
